About QMS Training Module

    Understanding Training

    The Training module allows you to track and manage the training records of all employees in your organization.

    When you open the Training module, at the top is a filter that allows you to view the different aspects of training.

    Open Training: List of all assigned training to an employee that has not yet been completed.

    Need Review: List of all assigned training that an employee has completed, but validation needs to occur.

    Completed Training: List of all completed training by an employee and validated.

    By Employee: Allow you to view an employee training record.

    From the training module you can Add and Manage the training record. The typical lifecycle of training is:

    • Quality or Training Manager creates a training record.
    • The employee completes the assigned training.
    • Quality or Training Manager validates training record.



    Create Training Record

    From the Training Module page, click the Add Training Record link.

    On the resulting page, select the Category, Subcategory, Due Date and enter the training requirement. Use the additional details to list out more specific information for the employee.

    Choose from three validation types:

    Manual Completion (User enters comments)**

    • Users must log into the system and manually mark training as complete
    • Users must provide comments explaining their completion
    • Best for: Hands-on training, reading assignments, or activities requiring documentation

    Employee Communication (Magic link completion)**

    • Users receive an email with a direct completion link
    • Users can complete training without logging into the main system
    • The Subject/Requirement and Details fields are used in the email content
    • Once the employee marks it as complete, the system will validate the process as complete without interaction
    • Best for: Policy acknowledgments, simple confirmations, or external training

    Exam-based (Coming Soon)**

    • Future feature for quiz-based training completion
    • Will include automated scoring and pass/fail criteria


    Click the “Select Employees to Assign” button. On the resulting page, select the individuals who should be assigned to this training record.


    Click “Save Training Record”. The user will be assigned to this training record and will be sent an email informing them.

    The employee will receive an email that their training record is assigned. If the training is Manual or Employee Communication, the email will provide a link that allows the user to directly complete the training without the need to login.


    Employee Assigned Training Process

    When the employee logs into QMS, they will see on the dashboard any training items that are assigned. Additionally, the employee can click Activity & Tasks | Assigned Training from the menu.

    From the assigned training page, the employee can click Manage.

    On the resulting form, the employee can see the details of the assigned training along with the ability to submit their training results.


    The employee would click on the Submit Training tab, enter in Comments and Completed Date, along with the slider to indicate they have finished the training.


    When complete, click Save Training. The Quality or Training Manager will be notified that a training record needs validation.


    Validate Training

    In the Training Module, the Quality or Training Manager can view all items that require validation and review by clicking the Need Review filter button.


    Click Manage to view the training record. By clicking on the User Notes tab, you can see the information that was submitted by the employee.


    Click the Validation tab to enter your notes as the Quality or Training Manager. Once you have reviewed and validated the training record, enter your notes and click the Training Validated button.


    Once ready, click Save Training to close the record.
